How to Manage User Roles

Add or remove access to sales data, billing info, admin operations, and more using the user roles feature

Zentail offers the flexibility for an administrator to manage other users' roles in Zentail. This is useful to allow some users the ability to access high-level sales data, while others are limited to the general functions of the platform. If you'd like to add new users, please reference the steps on our How to add users page.

To view user access, or adjust user access

  1. On your Navigation bar go to Account > Manage Users.

    1. This opens a new page for adding users, editing user roles, and removing users.

  2. The 'three vertical dots' to the right of a users name includes options to edit a users' role or remove the user from your account.

    1. Note- you must be an admin to add/remove users and edit roles.

  3. Make any appropriate changes. Your changes are automatically saved.

Definition of Permissions

  • User Admin - This gives a user the permission to create new users, as well as editing other users' roles.

  • Billing Access - This permission allows users to view the Billing section of the Account Settings page. This includes links to the Zentail invoicing system and the ability to update your company's credit card.

  • Sales Data - This gives a user the ability to view high-level sales data on the Dashboard and access to Zentail's Analytics suite

  • Shipping Data Access - This permission allows users to view Personally Identifying Information for orders, like Customer Name and Customer Address. These are the same fields that are hashed in accordance with Zentail's Data Protection Policy.

  • General Access - Provides a user with general access to Zentail. This is the bare minimum and should be checked for all active users.

What Each Role Can Do

The permissions above control access to specific sections of Zentail (billing, sales data, shipping data, user management). They do not restrict core product and inventory functionality — all roles including Restricted User can view and edit catalog items, inventory levels, and product data.

Here is a summary of what each role can and cannot access:

  • Admin — Full access to everything: product/inventory editing, sales data, billing, shipping data (customer PII on orders), and user management.

  • Manager — Can edit products and inventory, view sales data and analytics, and view customer shipping information on orders. Cannot access billing or manage users.

  • User — Can edit products and inventory, and view customer shipping information on orders. Cannot view sales data/analytics, billing, or manage users.

  • Restricted User — Can log in and use Zentail's general features, including editing products and inventory. Cannot view sales data/analytics, billing, customer shipping information (PII), or manage users.

Important note: Zentail does not currently offer a way to restrict users from editing catalog or inventory data. If you need to limit who can make product or inventory changes, that is not configurable by role at this time.
