Overview

The Import / Export tool on Zentail is a powerful, and flexible tool to allow you to manage your catalog more efficiently! You can use this tool export data from Zentail, make bulk changes to your catalog, run sales and buy box reports, and view your previous imports and previous exports.

This article will cover:

Create Custom Templates

Custom templates are available for you to create reports with the fields you need to edit or export from Zentail.

  1. Go to the Import Data page, select the CREATE NEW TEMPLATE tab.
  2. Select the Report Type
    + Product: used to manage all product, inventory, and pricing data of your SKUs.
    + Sales Order: used to export cumulative order data.
    + Sales Order Line Item: export granular order data from Zentail, like the SKUs and item details within each order.
  3. Label your Template
  4. If your data has a header row, or you want to view the headers in an export, be sure to keep First row is a header row checked.
  5. Your Field Delimiter value should likely always be set to Comma.
  6. Scroll down to the Columns section. This is how you add attributes to your template!- Click the + ADD COLUMN button to add a column to your template. -- standard convention is to always keep "SKU" as column A.
  7. Search for the attribute and click it to add it as a new column, repeat for all desired attributes.- You can add, delete, and move around headers as you add them.
  8. When done, select CREATE TEMPLATE

Different Types of Attributes

There are different types of attribtues on Zentail. For the most part you will see attributes that are:

  • Text- this accepts any and all values. Most attributes are categorized as a 'text' attribute.
  • Numeric- Only accepts number values. Commonly used for quantity attributes.
  • Boolean- This a true/false, yes/no field. Common attributes are 'listed' attributes (setting SKUs to list / don't list).
  • Select- These are attributes that only accept a select set of values. There is a list of accepted values listed as you add the attribute to your template.

How to Edit, Copy, or Delete Existing Custom Templates

You've created a custom template, maybe it has 20... 30... 40  columns in it. And now you want to add just one more column. Instead of creating the template from scratch again, you can edit your existing custom templates! In addition to editing templates, you can also create a copy of an existing template or delete it all together!

Edit a Custom Template

To edit an existing custom template:

  1. Go to your Import / Export page on Zentail
  2. Under the "Run Existing Report" tab, select "Custom Report Templates" to view all of your existing custom templates
  3. Find the report you want to Edit and select the 'pencil' icon for that report: 
  4. You will be re-directed to an Edit Template view. Here, you can add or remove columns, change the name of the report, or add other rules just as you would when first creating the template
  5. When done, you can either "Submit Changes" to save the changes to this template, or "Cancel Editing"
  6. Once complete, you will be redirected back to the "Run Existing Report" tab on your Import / Export page.

Copy a Custom Template

Here is the 'copy' icon on Zentail:

To make a copy of an existing template:

  1. Go to your Import / Export page on Zentail
  2. Under the "Run Existing Report" tab, select "Custom Report Templates" to view all of your existing custom templates
  3. Find the report you want to copy and select the 'copy' icon for that report 
  4. You will be re-directed to an Edit Template view. Here, you can add or remove columns, change the name of the report, or add other rules just as you would when first creating the template. Note: The title of this template will be changed to include the word "copy" at the end of it. You can simply edit this while still on this Edit Template view to display the appropriate title.
  5. When done, you can either "Submit Changes" to save the changes to this template, or "Cancel Editing"
  6. Once complete, you will be redirected back to the "Run Existing Report" tab on your Import / Export page.

Delete a Custom Template

To delete an existing custom template:

  1. Go to your Import / Export page on Zentail
  2. Under the "Run Existing Report" tab, select "Custom Report Templates" to view all of your existing custom templates
  3. Find the report you want to delete and select the 'X' icon for that report.
  4. A pop-up will appear to confirm you want to delete this template. Please note that deleting a custom template permanently removes that template from your account.

Run Existing Custom Reports

Export Zentail Data

Now that you've created a template, it's time to download that data.

  1. In the RUN EXISTING REPORT section of the Import data page.
  2. Click Custom Product Report Templates and select the template you want to export.
  3. Select Download Report and Click the START GENERATING REPORT button at the bottom of the page.

Feed Options

  • Download Template Only (download a file with just the headers) - This allows you to export a blank csv for this template. It will include the headers but no actual data from Zentail. It's useful when you have a large template and want to be sure your headers are in the right order before importing back into Zentail!
  • Include Header - This gives you the option to include headers as the first row of your export. The most common practice is to keep this option selected.
  • Export for Excel (protects leading 0s by wrapping in ="") - When you open a file in excel, it is common for your UPCs to auto-conver to scientific notation. If that's the case, they'll appear similar to "8.9+11". This can be dangerous if you were to re-import that data into Zentail. To avoid this, Zentail will wrap your UPCs and SKUs in quotation marks! This is Zentail's way of preserving formatting and avoiding entering bad data into Zentail.

Product Filters

  • Active products only - This filters out any inactive or archived products. To view your entire catalog, including archived SKUs, un-check this option.
  • Formula - You can write a filter formula to filter for specific products. This can be used to export SKUs that have a blank title field, or brand that contains "ABC", etc... Learn more by reviewing the article: How to Write a Filter Formula for Import and Exports.

Import Data into Zentail

Importing data allows you to make bulk edits to your catalog!

  1. In the RUN EXISTING REPORT section of the Import data.
  2. Click Custom Product Report Templates and select the template you want to import.
  3. Select Upload CSV file and click UPLOAD FILE and select the file you would like to upload and click NEXT STEP.
    + First row is a header row - This allows you to tell Zentail whether the first row on your file contains your headers. Most of the time it will, and Zentail will skip over the first row. If the first row does not contain headers and you want Zentail to process and import that data, you can un-check this option.
    + Overwrite data in Zentail with blank data in the feed - This allows you to clear out existing data on Zentail with blank data. It can be useful to clear out price overrides.
    + Create new SKUs in Zentail if they don't already exist - Use this to tell Zentail whether it should create new SKUs on this field or ignore any SKUs that don't already exist on Zentail. Best practice is to un-check this option if you know- or think- that all of the SKUs on your file already exist in Zentail. It helps avoid the creation of unneccessary, or accidental SKUs in your catalog!
    + Field Delimiter - 99% of the time, you'll comma seleted here. That's why you've saved your file as a CSV, or Comma-Separated Values. 
  4. Click on each of the rows to make sure the data is mapped correctly -- please use caution to ensure the file you are about to upload matches the template.
  5. Select the fields you want to import -- if you only want to import data from a subset of the total columns on in your file, simply uncheck the columns you want to ignore. SKU is always selected since it is required for all imports. 
  6. Click START IMPORT.

Accessing Previous Imports and Exports

You can access and download the files that you've previously imported into Zentail or exported from Zentail. To do so:

  1. Navigate to your Import / Export page on Zentail.
  2. Select the PREVIOUS IMPORTS or PREVIOUS EXPORTS tab.
  3. Use the Cloud icon to download the file.

Templateless Reports

You can import data into Zentail without using an Import Template. All you need to do is make sure that you are using a recognized field value in the header row for each of your columns.

Here's how it works:

  1. Enter recognized field values in the first (header) row of your spreadsheet and fill in the spreadsheet with the data you want to import.
  2. Go to the Import / Export view.
  3. Select Generic Product Data Import then Templateless Product Data Import.
  4. Click UPLOAD FILE and select the file from your computer.
  5. Preview the Import to make sure Zentail is mapping your data to the correct attributes.
  6. Confirm the fields you want to import.
  7. Click START IMPORT.

Product Sales Reports

In addition to our pre-set templates, Sales Report and Sales Report (Line Items), you are now also able to create your own sales report templates that meet your specific needs!

Let's say you would like to export a sales report that includes the product title, customer's name and email, you could create a template like this:

Sales Order Reports: These Reports allow you to create and export cumulative order data from Zentail. For example, if 3 SKUs in order 1000 were ordered at $10 each you would see one line in the CSV with the Order and Cumulative Revenue of $30. If you prefer to see more detailed order information, please see below.Sales Order Line Item Reports: These Reports allow you to export granular order data from Zentail. For example, if 3 SKUs in order 1000 were ordered at $10 each, you would see 3 line items for each SKU with a Revenue of $10 for each SKU. 

You can also set a data range for both of these custom order reports.

Step 1: Create a new Sales Order Report template

  1. Go to the Import Data page.

2.Click CREATE NEW TEMPLATE.

3. Under Report Type: select Sales Order or Sales Order Line Item

4. If your data has a header row, be sure to keep "First row is a header row" checked.

5. Your "Field Delimiter" value should likely always be set to "Comma".

Step 2: Add Columns

  1. Scroll down to the Columns section.
  2. Click the + button to add a column to your template -- standard convention is to always keep SKU as column A and add attribute columns below.
  3. Search for the attribute and click it to add it as a new column, repeat for all desired attributes. Tip: You can scroll down the attributes section to view all available order export attributes.
  4. Note: Unit Price field will show the price of the item when the purchase was made, Product Item Price will show you the price of the item when the report is downloaded.
  5. Click CREATE TEMPLATE.

Step 3: Export Zentail Data

Now that you've created a template, it's time to download that data.

  1. In the RUN EXISTING REPORT section of the Import data page.
  2. Click Custom Sales Order or Sales Order Line Item Report Templates and select the template you want to export.
  3. Select Download Report.
  4. Choose a Start Date and End Date to set the date range for which you wish to see orders.
  5. Click the START GENERATING REPORT button at the bottom of the page.
  6. In the PREVIOUS EXPORTS section, wait a moment for your report to complete and click the download icon. Your report will be downloaded as a CSV file. You can now open the file in Excel or Google Sheets.
